TERMS AND CONDITIONS (EN VERSION)

Preamble

Registering for a BAFA or BAFD course means you accept these Registration Terms and Conditions. The candidate or their legal guardian acknowledges that they have read the entire document, as well as any specific conditions related to certain courses, before registering.

Registration Process

  • How to register: Registrations are done directly on the website afocal.fr, or at a regional agency if you cannot register online.
  • Deadline: You can register up to 24 hours before the sessions start, depending on available spots. If you register less than 8 days before the session, you must pay the full price immediately by credit card.
  • Deposit: To confirm your registration, you must pay at least a €150 deposit to the Afocal regional branch organizing the session. After that, a secure link will be sent to the email address provided during registration to pay the remaining balance.
  • Contact Information: When registering, you agree to provide valid contact details for the trainee (postal address, phone number, email) so they can be contacted personally at any stage of their application.
  • Confirmation: Your registration request will be confirmed as soon as your payment is received and validated. Please note that online credit card payments are processed faster than other payment methods.
  • Under 18: For trainees under 18, parental authorization provided by Afocal must also be filled out (sent automatically by email for online registrations).
  • Requirements: Before attending, you must check the required conditions to participate and validate the session (minimum age, previous steps of the course completed, Ministry of Youth and Sports file number via https://www.jeunes.gouv.fr/bafa-bafd). Afocal cannot be held responsible if the candidate or their legal guardian has not completed all the official steps on the Ministry’s website.
  • Documents required on Day 1: The following items must be presented on the first day of the course session:
    • A recent ID photo (can be digital on a phone).
    • A proof of civil liability insurance.
    • Depending on the session (specific advanced courses, swim instructor qualification, BAFD course, etc.), additional documents will be requested.
  • Convocation : An official convocation will be sent by email to the participants, usually 10 days before the session starts.
  • Accommodation warning: For sessions organized as day courses (externat) or half-board (demi-pension), AFOCAL is not responsible for any overnight accommodation. Any accommodation organized by a partner is under their sole responsibility.

Pricing Conditions

  • What is included: The session price includes registration fees, insurance, and course costs. Meals and accommodation may or may not be included, depending on the session and the rates. For full-board or residential sessions, bedding and towels are not systematically provided
  • Transport: Afocal does not cover transport costs between your home and the course location.
  • Attendance: Once a session has started, the full price must be paid.

Payment Terms

  • Available payment methods:
  1. Credit card: For online registrations on eligible sessions.
  2. Check: Made out to « AFOCAL ». For online registrations, follow the website procedure and mail the check to the organizing region. Warning: You must write the registration number provided by the website on the back of the check, otherwise the registration cannot be confirmed. Payment by check can be split into a maximum of 3 installments, subject to approval by our local services. All checks must be sent at least 8 days before the course starts.
  3. Cash: Only for on-site registrations and payments at the office of the organizing region, at least 8 days before the course starts.
  4. Third-party funding: If a funding organization covers all or part of the BAFA/BAFD session, this third-party payer must pay its contribution as soon as the invoice is issued, whether the trainee is present or not. In case of an unjustified absence (without a medical note provided within 48 hours), an invoice will be sent directly to the trainee for payment. If the funding organization can no longer fulfill its commitments, the trainee will have to pay the amount due.
  • Final Balance: To guarantee your place, the remaining balance for the session must be paid in full at least 8 days before the course starts.

Cancellation, Absence, Early Departure, Exclusion

  • Full Attendance: To be validated, courses must be completed in their entirety; therefore, no absences are allowed. This rule is set by the relevant Ministry. Early departures during a course will not be refunded.
  • Notification: Any cancellation or postponement request must be reported immediately by phone and confirmed in writing (letter or email with acknowledgment of receipt).
  • Cancellation policy:
    • More than 15 days before the course: Afocal will charge 50% of the deposit, unless you request to postpone your registration to a later session.
    • Within 15 days before the course: The deposit will be kept, and a postponement to a new session will be offered.
    • Within 8 days before the start: The entire balance will be kept, and a postponement to a new session will be offered only if a medical note is presented.
  • Illness during course: If you fall ill during the course, a postponement to a new identical session (valid for a maximum of one year) will be offered, only upon presentation of a medical note sent within 48 hours. No refund will be given. When registering for the new session, an extra fee will be charged based on the number of days already spent in the first course.
  • Transfer fees: For all postponement requests (early cancellation or medical reason), file transfer fees of €50 will apply. Only one postponement request is allowed per trainee.
  • Exclusion: Any failure to respect the rules or the community guidelines set during the course will result in exclusion. In case of exclusion or a negative evaluation during the course, no refund will be possible.

Changes to the Session and Cancellation by Afocal

  • Force Majeure : In case of Force majeure, Afocal may have to cancel a course session or change its dates/location.
  • Low Enrollment: Exceptionally, due to running costs, Afocal may cancel a session 15 days before it starts if there are not enough participants. Registered participants will be contacted and offered a postponement to another session. If postponement is impossible, all paid fees will be fully refunded.
  • Refunds: Refunds are made by bank transfer within a maximum of 30 days after receiving a written request along with bank details (RIB).
  • Non-refundable expenses: If a session is cancelled for any reason, Afocal cannot be held responsible for non-refundable transport and accommodation costs paid by the participant.

Accidents and Illness

  • Insurance: Afocal has insurance for activities organized during the sessions. However, each trainee must have their own personal civil liability insurance.
  • Healthcare Expenses: Medical, surgical, or pharmaceutical costs incurred during the session are the responsibility of the participants, who agree to reimburse Afocal if any funds were advanced.

Special Rates, Discounts, and Member Benefits

  • Deadlines: Financial aid or discounts granted by Afocal will only be applied if requested before the session starts and if proof is sent on time. Discounts cannot be combined or used on already discounted rates (partnerships, etc.).
  • Large Family Card: A 10% discount on the standard Afocal catalog price is given to « carte familles nombreuses » holders upon presentation of the card.
  • Member Associations: Individual members of Afocal’s partner associations usually receive a 10% flat discount on catalog prices, valid on the day of registration upon presentation of proof. This must be requested before the session starts.
  • Promo Codes: Discount codes occasionally provided by Afocal online are only valid for registrations made on the website www.afocal.fr.
  • Supplements: On certain sessions with extra options, the discount only applies to the base price (contact the organizing Afocal branch).

Personal Data

  • Privacy: CNIL declaration n° 1324810 and compliance with the General Data Protection Regulation (GDPR). The personal information you share with us will only be used to best fulfill your request. You have the right to access, correct, and delete your personal data by contacting our services at contact@afocal.fr.

Financial Aid

Many organizations can help fund your BAFA or BAFD course. Funding options vary depending on where you live. You are responsible for researching these financial aids and completing your applications. The organizations listed below are given as examples:

  • DRAJES (Regional Academic Delegations for Youth, Commitment, and Sports)
  • Regional financial aids (Epass Pays de la Loire, Atout Normandie…)
  • Local and national Family Allowance Funds (CAF and CNAF)
  • Agricultural Social Mutuals (MSA)
  • Certain Departmental Unions of Family Associations (UDAF) / France Travail
  • Certain regional and general councils
  • Certain Town Halls, Youth Missions (Missions-locales), and Youth Information Structures

Legal Clauses

  • Updates: These terms and conditions are available online and can be modified at any time by Afocal simply by publishing them. Only the latest version applies.
  • Validity: If any clause of these terms is declared invalid, it will be considered unwritten but will not cancel the course session itself.
  • Rights: Not claiming the application of a clause or tolerating its non-fulfillment, temporarily or permanently, does not mean Afocal waives its right to enforce it later.
  • Disputes: In case of a dispute regarding the creation, interpretation, or execution of these terms, both parties agree to try to find an amicable solution before starting any legal procedure. If no solution is found, the dispute will be handled exclusively by the courts that Afocal depends on.
